How to use your sample budget

Start by comparing the supplier totals, not just the price of one sample.

A cheaper product can stop looking cheap once shipping and other charges are included. And if you need a replacement sample, the gap between two suppliers can change again.

Then look at the total validation budget. That is the number to compare with the money you've actually set aside for checking the product.

If the calculator shows a funding gap, decide what really needs to be included before cutting corners. Ordering fewer useful samples just to stay under budget can make the comparison less useful.

What goes into the calculation

For each supplier, we start with the number of samples you want and the price of each one.

Then you can add the shipping cost and any extra charge for faster delivery. You can also leave room for a replacement sample if you think another order may be needed.

Some costs apply to the wider validation process instead of one supplier. That might include inspection or branding work, plus photography or other content you want to create from the sample.

You can also enter expected duties or import taxes and payment fees. A contingency buffer gives you some room if the final bill comes out higher than expected.

Put together, those numbers give you the estimated cost of comparing the suppliers rather than just the headline sample prices.

What your result shows

You'll see a subtotal for each supplier and the total number of samples you're planning to order.

The calculator also separates the base sample cost from logistics and the extra validation work around it. Then it adds payment fees and your contingency amount.

If you enter the budget you have available, you'll see whether there is money left over or a gap you still need to cover.

What this calculator can't tell you

The calculator only uses the numbers you enter.

It doesn't look up duties or taxes for you, and it doesn't convert currencies. Supplier quotes can change too.

So choose one currency and use it throughout the calculation. Before you pay, confirm the final quote with each supplier and check whether anything has been added or removed.

The cheapest sample isn't automatically the best choice either. The whole point of ordering samples is to learn which supplier and product setup you would actually trust with customer orders.
